The third and final Challenge of the Brabantse Hospitality Award. This Challenge focuses on time-consuming tasks that entrepreneurs will no doubt recognize. With today’s technologie and a practical approach, this can be resolved.

What are check-in and check-out times? Are towels included in the stay? Where can you get takeaway pizzas? Is there anything fun to do around Eindhoven today? There are a thousand and one questions that prospective guests have, and strikingly asked often the same ones. We have already answered the most frequently asked questions in the practical information section on the website. Experience shows that guests still have many more questions…

Time-consuming

Given the time I spent sitting at my laptop doing this, I feel it’s really a waste of time. I’d rather use that energy for other enjoyable things I can think of and spending time with my horses. Because the balance between work and leisure is very important for a positive mindset!

Jolene

And that’s why I started looking into what options were available to take this task off my hands. GuestButler George came my way; the owners Matthijs and Ritchie are acquaintances of the creators behind the Great Stay App. But Alexandra has her own ideas. George has become Jolene, the 1973 song sung by Dolly Parton fits the vibe of BoksheideBuiten perfectly.

Collaboration

Ritchie explains: what Alexandra does at BoksheideBuiten is exactly why we’re building GuestButler. She wants to give her guests a warm welcome, but doesn’t want to spend het whole day answering the same questions. Jolene, as she has named het assistant, takes that off her hands, so that Alexandra can put het energy, her horses, and the atmosphere that draws people to BoksheideBuiten. She tests it herself, gives feedback and comes up with good ideas. This way, GuestButler keeps getting better for her guests and for us. Exactly the kind of collaboration we do it for.

Set-up

The handy thing about this filling in the knowledge base though that does mean getting back behind the laptop… A number of frequently asked questions have already been automatically set up across all categories, such as accommodation & facilities, acces, parking, food & drink, pets, leisure & activities, and contact & support. I can easily add your own questions and answers. So let’s get started!

Tickets

It’s also very important to track questions and complaints, and to find out how guest Jolene found het experience. This allows you to make further additions and stay completely up tot date. We’re also keeping an eye on the waste mountain, much less paper is used, so it’s certainly a sustainable solution.

Albert Heijn

I regularly log into GuestButler to see what guests get from the app, and that’s how I discovered that the Albert Heijn supermarket is located in Bergeijk rather than Eersel. I’ve submitted a ‘complaint’ so that the app can be optimised. This is certainly something the app developers need to look into, as it currently displays a standard message.

RoomRaccoon

At the moment, I manually enter the guests first and last name, mobile number, and arrival- and departure dates. BoksheideBuiten uses the RoomRaccoon hotel management system, and recently it’s become possible to link GuestButler and RoomRaccoon, which means everything is truly automated. That’s a step towards the future…
